General

This manual covers the Facility/Asset Risk Management Module from a Super Admin perspective.

The Facility module is an add-on that enables super users to have a risk overview of company facilities such as local offices, factories, warehouses, stores, or other types of physical locations. It also provides a way of adding end users to the system even if they do not have access to the Safeture App.

The key features are:

  • General overview and risk assessment of any point of interest within a company.
  • Super Users will be notified if a high-risk incident affect the facility, both on ISO and via email notifications.
  • Sending alert notifications to end users connected to a Facility affected by a high-risk incidents.
  • Mass communication to all users connected to any number of Facilities.

Facilities Page

The Facilities Page shows a list with all facilities added to the account. This page can be reached by selecting this icon from the main menu:

From this page it is possible to get an overview in list-form of all Facilities.

It is possible to search for Facilities, sort in alphabetic/numerical order and filter on tags/countries/states.

A red row indicates that the facility is affected by a high-risk alert and selecting the option “Show only red alerts” will filter out these.

Clicking on a row will open up a detailed page for the Facility.

By selecting one or more rows in the right-hand checkboxes you can choose to message or delete any number of facilities at once, based on the filter set in the table:

Adding facilities

To add a facility simply click “Add Facility” on the Facility main page.

Mandatory information to enter is:

  • Name
  • Country
  • Latitude/Longitude
  • Incident Detection (This is used to determine the area for which the facility is considered affected by alerts)

Latitude and Longitude can either be added manually or choosing a location on the map by drag- dropping the map pin. Additionally, you can search for a specific location in the address field which will auto-populate the lat/long fields:

Optional information that may be entered is:

  • Address
  • State
  • Phone Number (Important but not used for any type of communication from the Safeture system)
  • Tags (Custom field used to simplify categorization and filtering of different types of Facilities)

Import Facilities

To bulk import any number of facilities simply click “Import Facilities” on the Facility main page.

Here you can download a template for the spreadsheet format needed by clicking the Excel-button. Add any number or rows to the spreadsheet and make sure to populate the mandatory columns, described in the “Add Facility” section above.

When all information has been added to your spreadsheet, mark all rows (including header row), copy the marked cells and paste into the text box displayed above.

Facilities Details

When selecting a Facility from anywhere in the system, the Facilities Details Page is displayed.

From here is it possible to view, edit and message a Facility.

Click the “Message Facility” to initiate communication with the Facility.

Click on “Edit Facility” to edit the information, see “Adding Facilities” for details.

Contacts

Any user connected to a Facility is called a Contact. Contacts can be connected to any number of Facilities and are displayed under the “Contacts” in the tab for each facility.

A Contact can be marked as “Management”. The Management-tag makes it possible for Super Admins to only send mass communications to Contacts within management for each facility.

In addition, the Safeture system can be configured to only send alerts to Contacts with the Management-tag.

Contacts can either be bulk imported to the system, added one by one or integrated via HR database integrations.

Click “Add Contacts” to add or import Contacts.

Alerts

View all alerts affecting the Facility.

Contacts

It is possible to view all Contacts in the system by clicking the User icon on the main menu.

From here it is possible to manage all Contacts, regardless of which Facility they are connected to. TBD: Describe how to add Contacts from here.

To add a Facility to a Contact, select a Facility in drop down menu and press “+” to add this co-worker to the Facility.

The Dashboard

When a facility is affected by an alert this will be shown on the dynamic dashboard in the “Facility near

incident” section. Two actions are available:

  1. Click on the facility name (blue link) to access the Facility detail page for the affected facility.
  2. Click on the “Message” button to initiate communication with the affected co-workers.

Security Overview

Tick the box “Facilities” and the Facilities icons will be shown on the map under Security Overview. A facility affected by an active alert will be displayed in red colour if the icon is blue the facility is currently not affected by an alert. Hover over the facility icon to view a summary of the facility or click the icon for facility details.

Message Facilities

Select – Chat/Email/SMS and if the message only should be sent to management. Add recipients by typing a name in the field. The icon with a Factory icon indicates that the selection is for an entire Facility. A person icon indicates that this is an App User, the icon with a business card indicates that this is a Contact with no App connected.
