Scheduled Check-ins User Guide

Overview

Safeture’s Scheduled Check-in module gives platform administrators an option to make sure their personnel is OK by asking them to Check-in via the Safeture app regularly. The system will remind end-users of an upcoming Check-in, and a missed Check-in will trigger notifications to selected administrators.

Schedules can be set on a weekly basis for both individuals and groups of users.

This functionality is an add-on to the standard ISO management platform, and additional permissions are set up by the Safeture Customer Development team.

Admin functionality

The module can be reached from the Security Overview part of the ISO management portal:

Setting up a schedule

To set up a new schedule for your personnel, click the add button at the top right corner:

You can add users by searching for individual users or by adding the user-groups that are available in your account:

Note that the feature will only work for users with the app installed; currently, travel booking users are not supported for this feature.

After adding users, you can freely choose which weekdays and at what time the Check-in should be targeted, i.e., set a deadline. The timestamp indicates the deadline of the Check-in, and any missed Check-in action by the affected users will trigger alarms to selected administrators.

You can select multiple weekly setups for each scheduled instance to give you the option to have different time stamps set for different weekdays.

Note that the set Check-in time will be according to each end user’s current time zone. This means that a group of users receive the Check-in notification at different times if they are located in different time zones.

Each schedule instance has a Time Window parameter, which indicates how long the Check-in window is opened. If a scheduled deadline is set to 10:00 and the Time Window is 60 minutes, the users can Check-in via the app anytime between 09:00-10:00 to fulfill the required Check-in and not trigger any alarms. In this example, a user checking-in at 08:59 will trigger an alarm at the check-in deadline.

Alarms and notifications

When a check-in deadline has been missed by one or more users, the system will trigger notifications to the administrators and inform them of the situation. A separate widget will appear on the ISO Dashboard.

The users with a missed Check-in will be represented on the Security Overview by an orange icon:

These users will also be marked on the right-hand sidebar containing selected users:

These notifications can be resolved by clicking the affected user or going to the Schedule Check-in page.

The admins’ users can also be configured to receive an email triggered upon any missed Check-ins:

This option is currently configured by Safeture and is set at the administrator level.

End-User functionality

To perform a Check-in, the user needs to open the app and go to the landing page with the home icon and press the Check-in button. This action will also send an up-to-date location to the system with respect to the user’s privacy settings. As a reminder to the user that an upcoming Check-in has been requested by an admin, a push notification will be sent to the user:

The first reminder will be sent at the start of the Check-in time window, giving the user some time to perform the action. Additional reminders will be sent every 2 hours at a total of 4 times if the check-in has not been performed.
