Invite app users to the platform

This guide is written for Administrators.

This guide explains how an administrator can add users to their account, via the Web Portal. There are two different methods of adding users. Depending on the amount of users you want to add, you can add users one by one or do a bulk import.

Choose method of import by locating the Users widget

There are two different ways to import users. Select the option that is most suitable for your situation, and follow its instructions.

Method 1: Add users one-by-one

If you wish to add users one-by-one, please follow these instructions. 

Recommended when adding only a few users.

Method 2: Import multiple users simultaneously

If you wish to import multiple users at the same time, please follow these instructions.

Recommended when adding many users.

It is not possible to invite users when SSO (Single Sign-on) is enabled for your login method.

Adding users one-by-one

Invite users

To add users one-by-one, click “Invite Users”.

Fill in mandatory information

Please fill in the fields displayed in the image below.


Displayed in the drop-down list is normally three different types of subscriptions; 1) Fixed subscription 2) Travelbooking subscription 3) Contact subscription. It is important to select the correct type for the app to work accurately for the user.

Select the subscription you wish to connect the app user to. The standard subscription is ‘Fixed’.   

If you would like to add the user to more than one subscription, please contact support.


Enter the email address you would like to be connected to the app user to. 

Fill in the remaining information

The following steps are preferred for optimal performance.

  • Phone number: Start with the area code without the “+”. Example: 46701234567 for Sweden.
  • First name
  • Surname
  • Gender
  • Nationality
  • Passport Number
  • Home Regions

Home regions are used to define traveling and non-traveling users. When a user is located within a selected home region, they will be labeled “home”.

  • Department
  • Line Manager
  • Job title
  • Group
  • Tags
  • Facility connections
  • Address (address, zip code, city, state, country)

Add to table and invite user/-s listed

Click the green button “Add to table”.

Check that the information you entered is correct. If not, click edit, change the information and save the changes by clicking edit done.

Import multiple users simultaneously

Spreadsheet import

To import multiple users at the same time, click “Import Users from Spreadsheet”.

Download and fill in the spreadsheet template

Download the spreadsheet template either as an Excel file or Google Sheets.

After downloading the template:

  1. Fill in the information about your app users in the spreadsheet.
  2. Highlight and copy all rows and columns, including field names, from the spreadsheet.

Paste all rows and columns, including field names, from the spreadsheet here.

Final edits & invite users

Check the information and potentially correct any errors from the import and finish by clicking “invite users”.
