What is a contact?
Any user connected to a facility is called a contact. Contacts can be connected to any number of facilities and are displayed under the contacts tab for each facility.
Contacts can either be bulk imported via a spreadsheet to the system, added one by one, or integrated via HR database integrations. Contact our customer development team for further assistance on how to integrate contacts from your HR database.
1. Click on Facilities in the web portal menu
2. Click on the facility you wish to add contacts to
Search for and click on the correct facility in the list.
3. Click the contacts tab
4. Choose your method of import
4a. Manual import
If you wish to add facility contacts one-by-one (recommended when adding only a few contacts) click “Add Contact”.
If you choose this method, please proceed to step 5a and continue with the a-path of this guide.
4b. Spreadsheet Import
If you wish to import multiple contacts at the same time (recommended when adding many contacts) click “Import Contacts From Spreadsheet”.
If you choose this path, please proceed to step 5b and continue with the b-path of this guide.
5a. Enter the contact’s information
If the contacts you wish to connect to the facility already exists in the system, you can search for her/him in the search bar and click the correct option listed.
If not, please fill in his/her first name, surname, email address and phone number.
If the contact is a part of the management team at the facility, tick the management box. When doing so, you can specifically target only the members of the management team for selected facilities with your message.
Finish by clicking “Add Contact”.
5b. Download and fill in the spreadsheet template
Download either as an Excel file or Google Sheets.
After downloading the template:
- Fill in the information for your facilities in the spreadsheet.
- Highlight and copy all rows and columns, including the field names, from the spreadsheet.
6b. Paste the information from the spreadsheet here

7b. Make any final edits and add the listed contacts.
Confirm and potentially correct any errors from the import and click “Add contacts”
